Indoor activities are carried out inside a space. They are limited to the conditions of the place where they are held, to the number of people participating in the activities, among other factors. Outdoor activities are carried out in an outdoor space. It can be a green space on a property or in contact with nature. Although there may be weather limitation, it is outside that the teams engage and participate more intensely, possibly due to leaving their comfort zone. The choice of the type of activity may have as a limitation the budget, the place, the meteorology or the age of the employees of your company.

The biggest issue with an outdoor event is the need to consider the weather. Even during the summer months, the possibility of rain is something that is always lurking around the corner, and there is no bigger buzzkill than rain. Indoor events may protect you and your guests from the weather, but they also come with limits for how large the party can be. With outdoor events, you needn’t worry about running out of room – and your guests can enjoy the surrounding area at their leisure. Furthermore, the open air eliminates the possibility of stuffy lethargy that comes with being in one room for too long, and you get more opportunities for extra facilities. Indoor venues give you the added security of CCTV, lockable doors and dedicated rooms to store valuables. This is something that is not always possible in the open environment of an outdoor event. Both options provide you with different possibilities for decoration, and it is all about what you want to achieve with your desired style. Indoor events mean that you can decorate however you like and have endless possibilities for themes. On the other hand, outdoor events mean you can take advantage of the surrounding area – and are perfect for adding the beauty of nature to the atmosphere of your event.

The biggest positive about outside venues is the space. You will have far more space to accommodate additional attendees, activities, stall holders, you name it. Indoor venues are often limited on numbers but with outdoor spaces that number is much higher. If you had a music festival in mind, you could have over tens of thousands of attendees whereas finding a venue that large indoors would be difficult. Versatility is another pro to having an event outdoor. The options are endless when it comes to event layout, theme, decorations, atmosphere and feel.
Outdoor venues tend to be more cost effective and are more budget friendly than indoor spaces. Parks, fields, and town centres are all options to consider for your outdoor event, as well as country houses parkland and designated show grounds. They are more cost effectives as generally they come without any facilities and have low running costs.
However, hosting an outdoor event leaves you open to the elements. This is by far the biggest draw back of outdoor events, but it’s not all doom and gloom. Contingencies can be put in place to counteract the weather, like marquees, big tops etc to help provide shelter if the worse was to happen. Another con of outdoor events is that in some cases, the facilities will be limited. If you’ve hired a field you will need to bring in things like power, water, toilets, fencing etc. Security can also be a con to outdoor events. If you have a large open space, you will need to get additional security, including overnight, to keep your equipment and event site safe.

Indoor venues and outdoor event venues both come with their own set of pros and cons, so evaluating the values of each is an important first step to planning an event. No matter the event, be it corporate or social, it’s up to the planner to always keep the guests’ comfort levels in mind. If the event is in August, for example, you won’t want to host it outside unless a fully air-conditioned tent is within the client’s budget. While you may love to soak up the sun, guests may not quite feel. Likewise, an outdoor event in December could leave everyone shivering, depending on where you’re located. Spring and fall, however, are beautiful times to be outdoors in many regions, so guests will love the fresh air and breezy weather. Outdoor events often need a tent to be factored in, which can be very expensive but often necessary. The size of the event is another major consideration that planners need to keep in mind. Tying back to the budget, small events are understandably more affordable than larger ones. However, with outdoor events, keep in mind that longer guest lists equate to larger tents, which can really run your budget up. The level of décor may differ depending on the space. For example, if a client wants a candle-heavy event, this is often permitted at outdoor venues, but indoor venues may require using battery-operated candles instead. On the other hand, a client that wants lots of chandeliers and hanging fixtures will find it easier to manage at an indoor venue.
